1. What this notice covers
This notice explains what personal information we collect through this website, why we collect it, how long we keep it, and the rights you have over it. It applies to www.radicalevents.co.uk only. It does not cover information you give us by phone, by email outside the website, or in person, although the same principles apply.
2. Information we collect
Enquiry and quote forms
When you submit our contact form or request a quote through the Flightcase hire list, we collect the information you enter: your name, company name, email address, phone number, event dates, delivery requirements, budget indication, venue or location, and any message you write. Where you have built a hire list, we also record the equipment items and quantities you selected.
We also automatically record the IP address the submission came from. We use this solely to detect and prevent spam and abuse of our forms.
Website analytics
We use Burst Statistics, a privacy-focused analytics tool that runs on our own server. It is configured in cookieless mode: it does not set tracking cookies, does not use device fingerprinting, and does not share your data with any advertising network. It records anonymised information such as pages visited, approximate country, referring site, device type and browser. This data cannot be used to identify you.
Cookies and local storage
We do not use advertising or tracking cookies. If you add equipment to your Flightcase hire list, we store that list in your browser’s local storage so it is still there when you return. This is strictly necessary for the feature to work, stays on your device, and is never sent to us until you choose to submit a quote request. You can clear it at any time by clearing your browser data.
3. Why we use it, and our lawful basis
| Purpose | Lawful basis (UK GDPR) |
|---|---|
| Responding to your enquiry and preparing a quote | Steps taken at your request prior to entering a contract (Article 6(1)(b)) |
| Managing a hire or production booking you go ahead with | Performance of a contract (Article 6(1)(b)) |
| Keeping records for accounting and tax | Legal obligation (Article 6(1)(c)) |
| Preventing spam and abuse of our forms | Legitimate interests — keeping our systems secure and usable (Article 6(1)(f)) |
| Understanding how the website is used, in anonymised form | Legitimate interests — improving our website (Article 6(1)(f)) |
We do not use your information for automated decision-making or profiling. We do not sell your data, and we do not share it with advertisers.
4. Who we share it with
We share personal information only with the service providers we need to run the business:
- Our web host — stores the website and its database.
- Our email provider — delivers enquiry notifications and your confirmation email.
- Current RMS — our hire and rental management system. Where a quote request is progressed, the details you supplied may be transferred into it so we can prepare and manage your booking.
- Our accountants — where a booking results in an invoice.
Each of these acts on our instructions under a written agreement. We may also disclose information where we are legally required to do so.
5. How long we keep it
- Enquiries that do not become bookings — 24 months from your last contact with us, then deleted.
- Enquiries that become bookings — retained for 7 years after the end of the financial year the work falls in, to meet HMRC record-keeping requirements.
- IP addresses recorded with form submissions — 12 months.
- Anonymised analytics — retained indefinitely, as it cannot identify you.
6. Your rights
Under UK data protection law you have the right to ask us for a copy of the personal information we hold about you, to have it corrected if it is wrong, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on legitimate interests, you can object and we will stop unless we have compelling grounds to continue.
To exercise any of these rights, email info@radicalevents.co.uk. We will respond within one month. There is no charge.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
7. Security
The website is served over an encrypted HTTPS connection. Access to enquiry records is restricted to authorised people within Radical Events. We take regular encrypted backups. No system is perfectly secure, but we take these measures seriously and review them regularly.
8. Storage location
Your information is stored on servers in the United Kingdom or the European Economic Area. Where a provider transfers data outside the UK, we rely on the UK International Data Transfer Agreement or equivalent approved safeguards.
9. Children
This website is aimed at businesses and event organisers. We do not knowingly collect information from anyone under 18. If you believe a child has given us their details, contact us and we will delete them.
10. Changes to this notice
If we change how we use personal information we will update this page and revise the date at the top. Material changes affecting existing customers will be communicated directly.
